If you run a roofing, HVAC, plumbing, landscaping or remodeling business, you already know the pattern. The phone rings while you're on a ladder, under a sink or talking with a customer. By the time you call back, the person has already found someone else.
That isn't a people problem. It's a timing problem, and it's one of the cheapest problems in your business to fix.
What happens after a missed call
In a 2025 CallRail survey of 1,000 US consumers, only 42% said they leave a voicemail when a business doesn't answer, and 21% said they immediately call another business (CallRail survey, summarized by SchedulingKit). Most callers are not going to wait around for a callback.
Speed matters just as much for web and Facebook leads. Studies on lead response time keep finding the same thing: the business that replies within minutes is far more likely to win the job, yet one Harvard Business Review study found the average reply time was 42 hours (Verse).
What a missed-call text-back does
A missed-call text-back sends an automatic text the moment a call goes unanswered. Something like:
"Hi, this is Mike at Ridgeline Roofing. Sorry I missed you, I'm on a job. Tell me what you need here and I'll get back to you today: [link]"
The caller gets an answer in seconds instead of hours. The link opens a short form that asks the questions you'd ask anyway: address, type of job, photos and how soon they need it. You get an alert with everything in one place, and the request lands in a tracker so nothing slips.
What it's worth
Run your own numbers. Many contractor service calls run a few hundred dollars, and replacements, roofs and remodels run into the thousands (Signpost). If a text-back saves even one job a month, it usually pays for itself in the first month.
- Average job value: what a typical new customer is worth to you.
- Missed calls a week: count the evenings, weekends and busy days.
- A conservative close rate: how many of those you would have won with a fast reply.
What you need to set it up
Most business phone apps and many carriers can send an automatic text after a missed call. Business phone apps with this feature typically run about $15 to $55 a month per user (Quo comparison). The real work is the message, the request form behind it and the follow-up that makes sure every request gets a quote.
That's what our Missed-Call Text-Back package covers, starting at $300 one-time, with your phone plan billed to you directly. Pair it with the Never-Miss-a-Lead Setup and every request also gets a tracker entry and automatic quote follow-ups.
Keep it human
- Sign the text with a real name, not "the team."
- Say when they'll hear back, and keep that promise.
- Ask for photos. They save you a site visit on half your quotes.
- Don't send more than one automatic text per missed call.
