Most small custom apparel, embroidery and print shops start the same way: a Facebook page, a "text us to order" line and a lot of goodwill. It works until the orders pick up. Then the details live in five different threads, a team order needs sizes from twelve people and a quote you sent last week never got a reply.
We recently set up a system for a custom apparel shop here in South Central PA that had exactly this problem. Here's what changed and how you can do the same.
The three ways orders get lost
- Missing details. A text that says "can I get 10 shirts?" leaves you chasing design, colors, sizes, placement and a deadline.
- No reply in time. When you're printing, you're not answering. Buyers often go with whoever answers first (Verse).
- Quotes that go quiet. You price the job, send it and move on. Nothing reminds you to check back, so the order quietly goes to someone else.
The fix: two forms and one tracker
The shop added two buttons to their online store: Custom Orders and Bulk & Team Orders. Each opens a short form that asks for everything they used to chase: design, shirt style, colors, print placement, sizes, quantity, deadline and pickup or shipping.
When someone submits a form:
- The customer gets a friendly confirmation email within a minute, with a request number.
- The shop gets an alert with every answer.
- The request lands in one tracker sheet, marked New.
- Anything needed within 14 days is flagged RUSH, so tight deadlines get answered first.
Customers who have a logo or artwork just reply to the confirmation email and attach it. No accounts or uploads to figure out.
Follow-ups that happen on their own
When the owner sends a quote, they mark the row "Quote Sent." If the customer hasn't answered by day 3, a reminder email lands at 8 AM. If they still haven't answered by day 7, one more reminder. That's it. No CRM to learn, and nothing falls through the cracks. (More on that in the day 3 and day 7 rule.)
Faster new listings
The same project added ready-made product templates in Square, with sizes, colors, price and fabric details already set, plus a saved AI prompt that writes product descriptions in the shop's own voice. A new design now goes live in under 10 minutes.
What it costs
This is our Never-Miss-a-Lead Setup, starting at $500 one-time, with quote follow-ups included. It runs on free Google tools, so there's no monthly software bill, and you own everything. We'll even show you a live demo on a call, set up with your shop's name, so you can watch the confirmation land in your own inbox.
